Unique AI Privacy Policy
Effective Date: August 21, 2026
This Privacy Policy explains how Unique AI, operated by Unique Landscapes by Griffin, Inc. (“Unique,” “we,” “us,” or “our”), handles information in connection with the Unique AI platform and its current QuickBooks Online integration.
Unique AI is primarily a business application for authorized personnel and other expressly approved users.
1. Information We Process
Depending on the features a user is authorized to use, Unique AI may process account information, authentication information, business records, operational information, system usage information, and information obtained from authorized third-party integrations.
For the current QuickBooks Online integration, Unique AI may access authorized information including:
QuickBooks company identity information;
Products & Services / Items;
Chart of Accounts information;
certain customer information used for discovery functions; and
Profit & Loss information for specifically authorized functions.
The immediate financial reconciliation workflow uses company identity, Products & Services / Items, and Chart of Accounts information.
The current QuickBooks integration does not read invoices, bills, payments, vendors, or other accounting transactions as part of this reconciliation workflow.
2. QuickBooks Connection Information
When an authorized user connects QuickBooks Online to Unique AI through Intuit’s authorization process, Unique AI receives and stores information needed to maintain that authorized connection.
This may include:
OAuth access token;
OAuth refresh token;
QuickBooks company identifier, commonly referred to as a realm ID;
token type and expiration information;
connection timestamp; and
temporary security information used during the authorization process.
Intuit application credentials used by Unique AI are maintained separately in secured infrastructure.
We do not intentionally expose OAuth tokens or application secrets through the normal user interface.
3. How We Use QuickBooks Information
QuickBooks information may be used to:
verify the identity of the connected QuickBooks company;
retrieve Products & Services / Items;
retrieve Chart of Accounts information;
display authorized accounting information;
compare QuickBooks records with Unique’s internal financial classifications;
identify possible matches, mismatches, inactive records, ambiguities, or verification issues;
support authorized financial review; and
maintain and troubleshoot the QuickBooks connection.
The current QuickBooks integration performs read-only accounting access.
It does not currently create, modify, or delete QuickBooks accounting transactions.
4. Reconciliation Information
Unique AI contains provisional internal financial mappings that may be compared with live QuickBooks information.
During the current reconciliation process, potential matches and discrepancies are displayed for human review.
Unique AI does not automatically convert those reconciliation suggestions into permanent mapping-level QuickBooks identities.
QuickBooks Item IDs, mapping-level QuickBooks realm IDs, and canonical QuickBooks Fully Qualified Names are not currently written into the provisional financial mapping records through this read-only reconciliation process.
5. Artificial Intelligence
Unique AI includes artificial intelligence capabilities in other parts of the platform.
As currently implemented, QuickBooks-derived information handled by the QuickBooks integration is not sent to Amazon Bedrock, OpenAI, Anthropic, or another artificial intelligence model for inference or training.
If that practice changes materially in the future, this Privacy Policy and applicable product controls should be updated before such use becomes operational.
6. Where Information Is Processed
Unique AI uses Amazon Web Services infrastructure operated for Unique Landscapes by Griffin, Inc.
AWS services used in operating the platform may include computing, database, authentication, credential-management, content-delivery, and logging services.
QuickBooks information is obtained from Intuit through the QuickBooks Online API and Intuit OAuth services.
We do not currently use third-party advertising or analytics services to process QuickBooks information in this integration.
7. Storage of QuickBooks Information
The current QuickBooks integration stores OAuth connection information needed to maintain an authorized connection.
QuickBooks business information retrieved for the current read-only workflow, such as Items and Accounts, is read from QuickBooks for use in the application and is not currently persisted as authoritative QuickBooks business records in Unique AI through this integration.
Internal Unique financial classifications and provisional mappings may exist independently of QuickBooks. Those internal records are not evidence that a live QuickBooks record has been reconciled until reconciliation is separately reviewed and approved.
8. Security
We use administrative, technical, and organizational safeguards intended to protect information against unauthorized access, disclosure, alteration, or misuse.
These controls include authenticated access, permission restrictions, protected application infrastructure, secure credential storage, and restricted backend access.
No system can guarantee absolute security.
Users are responsible for protecting their credentials and promptly reporting suspected unauthorized access.
9. Operational Logging
Unique AI uses operational logging for security, troubleshooting, reliability, and system administration.
Successful QuickBooks business-data reads are not intentionally logged with their returned accounting contents by the current integration.
Authentication or integration failures may generate diagnostic logging.
We seek to limit such logging to information reasonably necessary to diagnose the failure and to avoid intentionally logging access tokens, refresh tokens, client secrets, or other authentication credentials.
Operational logs may be retained for security, troubleshooting, business, and compliance purposes in accordance with applicable operational controls.
10. Data Retention
Retention depends on the type of information and the purpose for which it is maintained.
QuickBooks connection credentials may be retained while the connection remains authorized and may be replaced when the connection is renewed or re-established.
Other information may be retained as reasonably necessary for security, troubleshooting, legal requirements, business records, audit needs, or operation of the service.
Where appropriate, information may be deleted, replaced, or otherwise removed from active use when it is no longer required.
11. Revoking QuickBooks Access
An authorized QuickBooks administrator may revoke Unique AI’s QuickBooks access through Intuit or QuickBooks connected-application controls.
Revocation through Intuit invalidates the authorization that allows Unique AI to access the connected QuickBooks company.
Unique may also administratively remove stored QuickBooks connection information when appropriate.
Unique AI does not currently provide a dedicated in-application QuickBooks disconnect function. This capability may be added in a future version.
12. Disclosure of Information
We may disclose information only as reasonably necessary to operate Unique AI, provide authorized integrations, protect the platform, comply with legal obligations, or use service providers supporting the platform.
Current service providers relevant to the QuickBooks integration include:
Intuit Inc., which provides QuickBooks Online and OAuth services; and
Amazon Web Services, Inc., which provides infrastructure used to operate Unique AI.
We do not sell QuickBooks information to advertisers.
We do not use QuickBooks information for third-party advertising.
13. Access and Permissions
Unique AI uses permission-based access controls.
A user’s ability to request information does not necessarily mean the user is authorized to receive it.
Access to financial or other restricted information may be limited according to role, individual permission, business need, and applicable company controls.
14. Internal and Authorized Users
Unique AI is not currently intended as a general public consumer service.
It is primarily intended for authorized employees, contractors, administrators, and other persons expressly permitted by Unique Landscapes by Griffin, Inc.
Users should not submit information to Unique AI unless they are authorized to do so.
15. Children’s Privacy
Unique AI is a business application and is not intended for use by children.
We do not knowingly design the service to collect personal information from children through the QuickBooks integration.
16. Changes to This Privacy Policy
We may update this Privacy Policy as Unique AI changes, new integrations are introduced, legal requirements change, or our data practices materially change.
The current version will be posted at this public location with its effective date.
Material changes to the way QuickBooks information is processed should be reflected in this Policy before the changed practice becomes operational.
